Facility Management and Maintenance
• Oversee management of campus outsourcing vendors including but not limited to facilities maintenance, campus sports fields and landscape maintenance and other third-party services; ensure ongoing monitoring and implementation of contracts;
• Lead and define integrated facility management program for hard services, develop and implement standard facility management programme, policies and procedures. Upkeep continuous improvement of standard operation procedures to ensure code compliance;
• Manage hard services to ensure building, school equipment and technical systems are maintained at optimal performance level;
• Develop energy management program, to analyse energy consumption data and identify opportunities to reduce the cost of energy supply portfolio;
• Prepare reports on facility management and maintenance to the School Bursar as and when required;
Procurement and Inventory Management
• Manage inventory accurately and replenishment order effectively;
• Monitor stock level of supplies, materials and equipment on site;
• Review all contract vendor requirements and compliance standards for school purchasing; Revise, renegotiate contract vendor agreements as necessary;
• Comply with purchasing policy and procedures including but not limited to pricing, competing bids, quality control and delivery.
Expansion, Retrofit and Renovation Work
• Work with and provide on-site management to the Project Team at Headquarters on expansion, retrofit, and renovation work of the campus and external staff accommodations when needed.
Information Technology
• Coordinate the electricity provision for new IT project development including door access control and security system;
• Assist IT staff to provides timely and quality technical support;
• Take secondary responsibility for IT budget planning with technical support from Head of IT and educational support from the School Superintendent;
• Other tasks as assigned by the School Bursar.
KEY OUTCOMES
• Manage a well-integrated, directed and motivated general management and administrative team to run day-to-day school facility management and maintenance activities;
• Perform trouble-shooting of complex technical problems and provide suitable solutions. To Present issues and solutions to upper managements and to rectify the issues;
• Provide effective and timely services to the school staff. Effectively coordinate with local school stakeholders on initiatives to ensure transparency and consistence;
• Provide school campus management and logistical support services to internal and school community customers. Guarantee fixed facilities meet WAIS China standards, international school norms and PRC statutory requirements;
• Maintaining relations with the administrators and faculty that are conducive to good morale, unity, and collaborative teamwork
• Ensure the highest moral standards among the staff and outsourced vendors
CANDIDATE REQUIREMENTS& SKILLS
• Bachelor’s degree in Facilities Management, Electrical or Mechanical Engineering, Project Management etc.
• Strong in facility operation & Maintenance background, & end users/stakeholders engagement work requirement.
• Knowledge of project management, human resources management, building maintenance
• Knowledge of electrical and mechanical systems
• Knowledge of health, safety and environmental regulations
• Solid computer and systems knowledge
• A minimum of 5 years’ experience and 2 years’ experience in a managerial position, in a multinational company or an international education organisation;
• Strong interpersonal skills and excellent customer service skills, and ability to influence through consulting, communication and relationship building;
• Excellent in both written and spoken English and Mandarin skills.
